Sending a workspace invitation
The Owner of a workspace, or an existing member with Administrator privileges, can invite new members to join the workspace. During this process, workspace administrators can define what role and permissions the new member should have. Step 1
Once logged in, navigate to Settings & Tools by clicking on the gear icon in the upper right corner.

Select the Members tile under Workspace Settings.

This will take you to the Workspace Members page, which will display a list of current workspace members, their email addresses, workspace roles, and other information.
To add new members, select the green +Invite Members button in the upper-left corner.
Step 4
On the Invite Members page, complete the following steps (see image below):
- Enter the email address of the user you would like to invite. You can invite multiple members at the same time, as long as they will all be assigned the same workspace role. To do so, separate each email address with a comma or a new line.
- Enter an optional personal message to be included in the system generated email, if desired.
- Choose the role that should be assigned to the user(s) from the dropdown menu. This dropdown will display all available standard and custom roles that have been set up in the workspace. (Learn more about workspace roles and permissions.)
- Finally, select Send Invite to send the invitation to each email address entered in the Email field.
Once the invitation is sent, the new workspace invitees will receive an email with a personalized workspace invitation URL. Invitees must select the Accept Invitation to Join Zengine Workspace button (or the URL below that) in the email to accept the invitation.
Existing Zengine users will be directed to log in to accept the invitation. New users will be prompted to create an account in order to accept the invitation.
Note that invitations expire after a week and will need to be resent if not accepted in that time frame.
Troubleshooting Errors
Occasionally, when sending a workspace invitation, you may see the error message This email address is already in use in this workspace, but a user with that email address does not appear on the Workspace Members page. The most likely explanation for this situation is that the email address you entered was linked to a user who was already invited to the workspace, but then accepted the invitation with a different email address.
For example:
- You invited "natalie@gmail.com" to the workspace.
- Natalie accepted the invitation, but her Zengine account is linked to her "natalie@yahoo.com" email address.
- If you try to invite the email address "natalie@gmail.com" again, you will get the error message listed above.
