Audit History Plugin
This plugin allows you see every change made to every field made by anyone in a workspace. It provides the date the change was made, the prior value in the field, and the updated value.
In order to access an audit history, select the specific record in question to bring up the form view for that record and find the Audit History icon in the record overlay pane on the right side of the screen. The record overlay pane will show the Linked Records pane when the form view of a record is first shown; select the Audit History button on the right side of the record overlay.
Note: The Record Audit History Plugin must be installed in your workspace for it to appear. If this button is not present, please contact our Support Team to have it installed.
This will bring up your audit history for that record, displaying any changes made to that record's data, folder status, or completion status; the user who initiated that change; and the date the change was made. The total number of tracked activities is displayed at the top of the panel, up to 100 entries. If there were more than 100 changes to this record, only the most recent entries will display.
While the Description column provides little detail, selecting the activity row will bring up a window providing more detail on the change (or, if more than one change was made, several changes), including:
- The date and specific time the change was made
- The user
- The action
- The field or record status that was changed
- The pre-change value or state of that field, and
- What the field was changed to
The User column will show the source of the record activity, but can be usefully interpreted:
- A normal email address - this represents the workspace member or administrator who made that record change. The change must have been made in the administrative workspace itself (and not via a portal or automation) but may have been done individually or using the Bulk Actions tool.
- integrations+{workspaceID}@zenginehq.com - this represents a submission or review portal associated with the workspace. From a practical standpoint, this "user" typically represents an applicant or portal user who made a change to the record from the submission portal (unless the record is a Review Feedback form used in a Review Portal, in which case this may represent a reviewer.)
- integrations+zapier+{workspaceID}@zenginehq.com - the change was made by a Zapier automation. This will only occur if the workspace has a Zapier integration set up, and that automation involves the form containing the record.
- A five-digit number - This can represent an internal process, an automation controlled by some specific plugins (such as the DocuSign E-Signatures or Record Label plugins), or a workspace member who has since been deleted from the workspace.
