Overview
Both administrators and applicants in Zengine have the ability to upload files to records. Administrators then have the capability to view and download these files while in the workspace.
Upload a File
Applicants
Applicants will upload files while accessing a form in the submission portal and utilizing an Upload field.
Administrators
Administrators can upload, view, download, or delete files while within the workspace.
Administrators can access a record and upload a file into an Upload field directly (similarly to how an applicant would).
Actions
Additional actions can be performed on files that have been uploaded via the form view or via the Files pane. Begin by opening the form view of a record by selecting that record row on the data view.
Files can be viewed within the workspace, downloaded, or deleted.
- While viewing a record in the form view, locate the upload field you wish to perform an action on.
- Next to an upload field that contains a file, three buttons are visible:

- A - View: Select the "eye" icon to bring up a window overlay and view the contents of the attached file.
- B - Download: Select the Download button to download the attached file via your web browser.
- C - Delete: Select the red Delete button to remove the attached file. Note that the file will be deleted without a confirmation message, but the deletion will only be irreversible after the record is saved. Closing the form view without saving will restore the file to the upload field.
In addition, administrators can perform these actions on any file uploaded to a record from the Files pane on the right-hand side of the form view of the record.
To view the available actions, click on the Files icon in the side panel of a particular record.
The Files pane will show all files attached to this record (in the image below, only one is uploaded), with additional information showing who uploaded the file and when.
The following actions can be performed from the Files pane:
- Download: Download by clicking the download icon (arrow) next to the corresponding file.
- View a File: Click the eye icon to view a file in the file viewer. From here you can also print the file, and download it in its original format OR as a PDF.
Accepted File Types
While our system accepts most type of files, we cannot guarantee that all files will convert successfully to be previewed through Zengine. When a problem file is encountered, please take reasonable steps to remedy the issue including requesting a new file from an applicant. Please contact the Zengine Support Team if you have questions or require assistance.

It is NOT RECOMMENDED to accept most file types outside of those listed above.
Notes
- Files are currently limited to 1GB per file but this can vary based on the internet connection of the person uploading - learn more here.
- You are not limited to the number of file upload fields that can be added to a form (beyond the 200-field-per-form limit, which applies to any field type), nor the amount of total storage space, but only one file can be uploaded per upload field.
- You can limit the size of the file upload that you want to accept in the Advanced Field Settings for an upload field.
