Overview
If you would like to delete a record, you must first view that record from the Data View. If you would like to delete more than one record at a time, you will need the Bulk Action plugin.
Deleting a Record
When viewing a record, look towards the top right corner of the record view to see a red trashcan icon. This is the delete function.
Clicking this icon will bring up one of two messages.
If the record is being referenced, or linked from, elsewhere, you will receive this message:
This indicates you need to first manually remove it from those records before you can delete, or delete the dependent (child) records first.
If the record has no linked child records on other forms, you will receive this message:
Click the red "Continue" button to proceed with deleting the record.
How can I detach related records when deleting a record?
When attempting to delete a record, you may be prompted to detach associated Linked Records prior to being able to accomplish this task. This different from outright deleting a record. In order to do so, you'll need to clear the selection.
Clearing the Selection
In order to detach a record:
- Open up the form view of the record you wish to detach by selecting that record in the data view.
- Select the value in the Linked Form field. This value is the name of the record on the parent for which the currently viewed record is linked to.
- Select Clear Selection. This will remove any linked records from this field.
- Finally, Save the record.
Using Bulk Actions to Delete Records
Bulk Actions can be used to many records on a form at once. See that article for instructions on doing so.
When using Bulk Actions to delete records from a form, the plugin will display any dependent child records that are linked to records you want to delete. While you cannot delete records along with those linked child records in the same action, Bulk Actions will display a URL to that record that you can select to delete the child record or detach it from the record you wish to delete.
If you do not wish to delete linked records, you can use the method located in the Clearing the Selection section above to simply detach the dependent data from the record you wish to delete. If you wish to totally delete the child record, you can do so by following the instructions in the Deleting a Record section above.
