Overview
Review Portals allow external judges to review applications and, optionally, submit feedback that include both objective scoring and subjective comments.
When an administrator creates a Review Portal, they will provide a URL specific to that portal to all of their portal users/reviewers; those reviewers will then follow the URL to log into the Review Portal and create a password of their choice.
Process
- Receive notification from the program administrator that you are a reviewer/judge. This notification should include, at minimum, a URL link to the correct Review Portal. Administrators can notify reviewers in one of three ways:
- Administrators can notify reviewers using tools outside of Zengine, such as direct email or phone notification.
- Administrators can use the Bulk Email tool to notify reviewers.
- The Recipients Form should be the form used to store the reviewers.
- The Email Field should be the field used to store the reviewer email addresses.
- The filter tool can be used to restrict the email to certain reviewers based on criteria in the Reviewers form.
- When sending a bulk email notification, all reviewers will be notified once that they have submissions ready to review. This is ideal for cyclical programs with set review periods that begin and end at certain periods.
- Administrators can use the Auto Email tool to notify reviewers.
- The Recipients Form should be the form used to store the reviewers.
- The Email Field should be the field used to store the reviewer email addresses.
- The Trigger Folder should be set to "Not Begun."
- When using the Auto Email tool to notify reviewers, note that reviewers will receive one email for every review assignment that is made using the Program Manager & Assignments tool. This may be suitable for programs with rolling, year-round application periods, but will result in a deluge of emails sent to each reviewer if all assignments are made in a short period of time.
- Access the URL to the Review Portal provided by the administrator. This will take you to the Welcome Page.
3. Enter your assigned email address on the Welcome Page.
Getting an Error? If the person accessing the portal is not yet a member, they will receive a notification to contact the administrator.
4. Receive a prompt to check email for confirmation. Now, check your email box.
5. In the body of the email; Access the confirmation link in the email, click the link (or paste into your browser), and return back to the portal.
Create a password. Once you do you'll be able to Log in and begin your process!
Common Question
What if the portal user didn't receive the confirmation code?
After confirming their email address is correct in your Reviewer Form; You can generate the confirmation code directly from the portal user's record within your Zengine workspace.
- Click on the Reviewer's record and then, click the "Generate Account Confirmation" button at the top right hand side of the record:
- In the drop down, select the portal they are trying to access.
- Click 'Generate'. Once that is done, a code will be generated for them:
- Provide the reviewer with the confirmation code that they could use to create their reviewer login account.
