Overview

A Submission Portal for a program can be closed until a specified start date and time. This feature is especially useful if, for example, a program has planned a midnight launch and the URL is posted to the public. No one will be able to access the portal to sign up and begin until the designated date and time has passed. 

This article details where to find the Submission Portal Start Date setting and how to modify it.

Where to Find the Setting

In the Submission Portal Settings, the Submission Portal Start Date can be added or changed on the General Settings tab of the Portal Settings page.

To access the Submission Portal Start Date:

1. Logged into a program as an administrator, navigate to the Settings & Tools section by selecting the cog wheel icon in the top navigation bar.
2. Select the Submission Portal tile from the Plugin Settings section.
3. Select the Edit button to the appropriate submission portal.

4. The Submission Portal Start Date is towards the bottom of the General Settings tab of the Portal Settings page. This is the landing page upon entering the Submission Portal Settings.

How to Customize the Submission Portal Start Date

When a Submission Portal Start Date is Not Needed

If a submission portal does not need a specified start date and time:

1. Select the box next to Portal does not need a start date. (This will typically be checked by default.)

There is no test mode for submission portals, so if a start date is selected, administrators will not be able to test the submission portal.

Setting or Changing a Submission Portal Start Date

If a submission portal needs a specified start date and time:

1. The box next to Portal does not need a start date should not be selected. 

Once unselected, additional fields appear and need to be completed.

2. If setting up or changing a Portal Start Date, select the desired start date in the date field.
   
   
   
   
3. Select the start time in the time field. Note that the time zone for this setting is Eastern Time (ET).  

4. Edit the Closed Portal Text box per the program’s needs. The {{startDate}} and {{startTime}} text will be replaced with the selected submission portal start date and time on the portal login page.

5. After all changes are made as needed, select the blue Save all settings button in the lower right corner of the screen.

When a submission portal start date is configured, the submission portal will be closed until the specified start date and time.  The submission portal will be inaccessible until the start date and time have been reached.  

Removing a Submission Portal Start Date

To remove a Submission Portal Start Date:

1. Select the box next to Portal does not need a start date. 

The date and time fields and Closed Portal Text section will disappear. Once the settings are saved, the submission portal will be open to anyone who accesses it.

2. After all changes are made as needed, select the blue Save all settings button in the lower right corner of the screen.
