Overview
In the Submission Portal, the Submission Page is the screen that contains the different Stages and Steps that a portal user is in the process of completing or has already completed. This article covers how to customize and edit the text that appears to portal users in each Stage on that page, before they have completed the Stage and after the Stage has been submitted.
The Purpose of the Stage Pre- and Post-Completion Text
Stage Pre-Completion text is the text that appears on a given Stage before the Stage is complete, providing information and instruction about that Stage and its Steps to a portal user.
The Post-Completion text is the text that appears on a given Stage after the Stage is complete, providing information and instruction about what will happen next with the portal user’s submission and the next steps they need to take (if any).
The following screenshot provides an example of what the Submission Page can look like to portal users. The sections of the page are as follows:
A. The Record Name of the Primary Form. (This will vary depending on which field is designated as the Record Name for the Primary Form, and what the portal user enters into that designated field.)
B. The Submission Page Description.
C. The Stage information. (Where the Pre- and Post-Completion Text appears; the example below displays the Pre-Completion Text for that Stage.)
D. The Step information. (More than one Step may exist for a particular Stage.)
Where to Find the Pre- and Post- Completion Text
In the Submission Portal Settings, the Pre-Completion and Post-Completion Text editors can be found on the Stage Settings page for the appropriate Required Stage.
To access the Pre- and Post-Completion Text:
- Logged into a program as an administrator, navigate to the Settings & Tools section by selecting the cog wheel icon in the top navigation bar.
- Select the Submission Portal tile from the Plugin Settings section.
- Select the Edit button to the appropriate submission portal.
- To add or edit the Pre- or Post-Completion text for a Stage, navigate to the desired Stage in the Portal Sections pane on the left side of the screen. Multiple stages are highlighted in the screenshot below to show there may be more than one.
- Selecting a Stage in the Portal Sections panel will change the contents of the right panel and display the Stage Settings.
- The Pre-Completion and Post-Completion text editors appear on the General Settings tab, as shown below.
Note that these settings will only appear for Required Stages. (For more information about Required and External Stages, see Submission Portal Key Concepts: Intermediate. For more information on configuring Stages and Steps, see Submission Portal Settings → Stage and Step Settings (section).)
Editing the Pre-Completion Text
The first formatting box allows administrators to edit the Pre-Completion Text for a Stage. This text will appear to a portal user when they are in the process of completing Steps before submitting a Stage. As such, this text will typically provide some level of instruction to portal users on how to complete the Stage.
To edit the Pre-Completion Text:
- Select inside the formatting area to create, edit, and format the program’s Stage Pre-Completion text. Default text appears in this text editor when a submission portal is first created.
There are several standard formatting options available to customize the appearance of the text, including changing the font and text size; displaying text as bold, italicized, or underlined; changing font highlights or text colors; changing text alignment; adding bulleted or numbered lists; and creating hyperlinks.
- After all changes are made as needed, select the blue Save all settings button in the lower right corner of the screen.
Editing the Post-Completion Text
The second, or bottom formatting box, allows editing of the Post-Completion Text for a Stage. This text will appear to a portal user in the same place as the Pre-Completion Text, but only after the portal user has completed all required Steps and submitted the Stage by selecting the green Submit button. This text should provide confirmation that the Stage has been submitted, and may also include general information about next steps.
To edit the Post-Completion Text:
- Select inside the formatting area to create, edit, and format the program’s Stage Post-Completion text. Default text appears in this text editor when a submission portal is first created (see image below).
- After all changes are made as needed, select the blue Save all settings button in the lower right corner of the screen.
