Product Improvements
This section summarizes new improvements or minor functionality changes to existing Zengine features and plugins that have been released in Q1 of 2024.
Bulk Actions Plugin
Bulk Generate Documents
- Release Date: January 11, 2024
- Product Improvement: The ability to bulk generate PDF documents from a Document Template for many records on a form at once has been added to the Bulk Actions Plugin
- Description: After selecting a form containing records an administrator wants to take action on, administrators using Bulk Actions were previously only presented with options to Edit or Delete the records selected. Now, with this release, administrators are also presented with the option to Generate Documents.
- This new feature allows administrators to generate documents from the same Document Template for many records on a form at once, rather than generating documents for one record at a time!
- Notes:
- This option will only appear if a form is selected that has been set up with a Document Template. See the article Document Template Plugin for more information.
- See the article Bulk Actions Plugin for more information on using this feature.
Bulk Download Attachments
- Release Date: March 27, 2024
- Product Improvement: The ability to download file attachments from many records on a form at once was added to the Bulk Actions Plugin
- Description: After selecting a form containing records an administrator wants to take action on, administrators using Bulk Actions were previously only presented with options to Edit, Delete, and (in some cases) Generate Document for selected records. Now, with this release, administrators are also presented with the option to Download.
- This new feature allows administrators to choose one or multiple Upload fields from the chosen form, and download the attached files from multiple records at once. Upon selecting the upload fields containing files to be downloaded and executing the action, the plugin will compile all files into a single .ZIP file available for download.
- See the article Bulk Actions Plugin for more information on using this feature.
Zengine - Workspace
Filter Tool
- Release Date: January 31, 2024
- Product Improvement: The “Condition” languages in the Filter tool for date fields was updated to provide clarity.
- Description: Before this change, when selecting a date field in the Filter tool, the Conditions that could be chosen included is, before, since, exists, and does not exist. However, the terms before and since created confusion as to whether the date in the Value field was included in the filter or not (i.e., if the condition was “before 06/01/2024”, would records created on June 1 be included in the filter or not?). As a result, these conditions were changed from before to on or before, and from since to on or after.
Bug Fixes
This is a list of all bugs that have been fixed, ordered by release date, in 2024.
January 2024
Release Date | Feature Affected | Description of Bug and Fix |
January 11 | Forms | When a user completing a form in Zengine tries to save a record with no data in a required field, the system should prevent saving and display a red message “This field is required” beneath that field. However, attempting to save a record that contained a required Checkbox field with only one option available that had been left blank would result in Zengine failing and displaying a “403” error code screen instead of displaying that message as intended. This has been fixed. |
January 11 | Workspace links | A number of URL links were embedded in various places throughout Zengine and different plugins that directed users to Knowledge Base articles for more information on certain features. These links were outdated. They have now been updated and direct users to the correct articles. |
January 11 | Various | A number of other small issues affecting security, edge cases of Bulk Actions, and general performance of the platform have been fixed and released. |
January 31 | Program Manager | In the Program Manager & Assignments Settings, when setting up a Review Process, the Permissions form (used to make reviewer assignments in and submit review feedback) could not be changed after it was first selected; this would cause an error message to appear when a user tried to save the Process. This is now fixed. Keep in mind that a Permissions form cannot be changed after the Review Process has been set up and saved, however - this is by design. |
January 31 | Filter - Dates | When using the “On or Before” or “On or After” filter conditions on a Date field, the filter would not account for local time and time zone differences, causing some records to not be included in certain filters when they should be. This is now fixed to consider date localization. |
January 31 | Power BI Integration | When importing records from Zengine into Power BI, we found that there were some limitations in how many records could be imported (500 to 1000 records at a time). A method was developed to allow users to import up to 2000 records using GraphQL with Postman (or a similar API client). (Please reach out to WizeHive for information on this method if you have this need.) |
January 31 | System Performance | A few other behind-the-scenes improvements were made that should improve system speed and stability. |
February 2024
Release Date | Feature Affected | Description of Bug and Fix |
February 15 | Zengine API | A few job requests from different features/plugins that failed were not being marked as failed and the workspace user was not notified. This is now resolved. |
February 15 | DocuSign Plugin | Some very large PDF documents were not successfully uploaded back to the Documents Target Form after e-signature was complete. This is resolved. |
February 20 | Bulk Actions Plugin | Bulk Actions erroneously displayed the job status for failed jobs as completed successfully, and the reason for failure was not given. This is now fixed. |
February 20 | Submission Portal | The URL formatter option stopped appearing in rich-text editors in the Submission Portal Settings, meaning that URL links could not be properly inserted into display text in the portal, and existing links were not working as intended. This is now fixed. |
February 20 | Bill.com Integration Plugin | If a payment was being made to an individual associated with an Organization Vendor, the plugin interface was still displaying beneficiary information related to the individual in the Payment Status Update. This has been addressed and, in this situation, the Organization name is displayed in the Payment Status Update page instead of the Individual. In addition, while making the payment, the Donor (Zengine user) has an option to add the name of the Individual (to whom he/she wants to pay through the Organization Vendor) under a Remark Text Box to tag the payment to the individual. |
February 20 | Batches (System) | When using plugins or features that process groups of tasks in batches (such as Bulk Actions or Bulk Email), some batches in a job got stuck running, so the job never finished. The cause of this issue was identified and corrected. |
February 21 | Auto Email | When a field reference was added to the body of an auto email, and that field reference represented a Checkbox (multi-select) field, the values in that field for the given record were not being displayed. This has been fixed. |
February 21 | Auto Email | Rarely, when certain forms in a workspace were selected as the Recipients Form for an auto email configuration, the “Specific Email” option was not displayed in the Email field. This should always show, regardless of what type of form is selected or the form relationships involved. The issue causing this was identified and corrected. |
February 21 | Auto Email | When the same email address was added as a CC or BCC address in an auto email configuration, the auto email would sometimes fail to send. This was addressed by ensuring that the auto email configuration could not be saved if duplicate email addresses were present in the CC and BCC fields. |
February 21 | Copy Record Plugin | If a form record contained special characters, it would not copy when using the Copy Record plugin. This has been fixed. |
February 22 | Program Manager & Assignments | When using Batch Assignments to make reviewer assignments in Program Manager, in a few cases, some application submissions were assigned to more than one reviewer, and others were not assigned to any. This has been fixed, and now each application should be assigned to an approximately equal number of reviewers when using the Batch method of assigning reviewers to submissions. |
March 2024
Release Date | Feature Affected | Description of Bug and Fix |
March 8 | Auto Email | When an auto email configuration was configured with the Trigger Folder set to the “Uncategorized” folder, the email was not being sent when triggered. This is now resolved, although using the “Uncategorized” folder for system functions like this should be avoided in general, as a best practice. |
March 8 | Document Templates | When viewing a record on a workspace form in form view, if that form had a document template set up for it in the Document Templates Plugin, the “Generate Document” button was visible for workspace users with any role or permission level. This should have only been present for users with Administrator or Owner roles. This has now been removed for any non-Admin/Owner user. |
March 27 | Document Templates | In a few cases, changing the alignment of a section of text in a document template would not remain after the template was saved. This is now fixed and is working as expected. |
March 27 | Bulk Actions | When using Bulk Actions to edit a Linked Form field (i.e., changing which records were linked), the screen would go blank, preventing users from editing these field types. This is now resolved. |
March 27 | Bulk Actions | When using Bulk Actions to edit records, the Edit button would be displaced off-screen and be inaccessible when a form contained long field names (which served as column headers when viewing records in Bulk Actions). This is now working as expected as the Edit button can be selected even with the long field names. |
March 27 | Zengine - Forms | The “Subscribe” button at the top of the form view for a record (which notifies Zengine users of changes to a record) was not working as expected. This is now fixed. |
March 27 | Zengine - Forms | In the Form Builder, if a Linked Form field was added to a form with one or more specified field rules (conditional logic), or if users tried to enforce “No Duplicates” on an existing Linked Form field, the user would receive an error code 500 (“There was an error saving one or more fields”) when trying to save the form edits. This error is now fixed and functionality is working as expected. |
March 27 | System performance | An issue affecting large backup jobs was identified and improved. |
March 27 | Review Portal | When a PDF version of a submission is created in a Review Portal, that PDF stays in the review portal cache for a time until it expires (the duration of this period can be changed in the Review Portal Settings) so that it would appear more quickly if any reviewer wanted to view this submission as a PDF again. This PDF would respect the existing “Show/Hide” Field View settings in the Review Portal. However, if those settings were changed to show or hide some fields on the submission, the PDF cache was not being reset, meaning that the PDF submission would continue to display the old Field View settings. Now, when a change to these settings is made and saved, the PDF Cache resets completely, removing old PDF versions of submissions and allowing portal users to generate new versions that reflect the updated Field View settings. |
